This is an in-office position located in Anchorage, AK.
Under the direction of the Leave Program Manager, the Leave Specialist assists with the administration of employee paid and unpaid leave programs (including leave under Family Medical Leave Act, similar leave laws and any company extended illness programs but not annual leave) for ASRC and certain ASRC subsidiaries under a shared services model. This position also provides intake services and provides administration support for accommodation requests. This role communicates with employees, managers, HR representatives, health care providers and others in the course of delivering these administrative services with a commitment to compliance with all company policies and federal, state and local law. A Level II and III Leave Specialist operates with significant autonomy and uses professional judgement in managing leave and accommodation cases, provides training on these programs and assists with identifying compliance issues and process improvements.
ESSENTIAL DUTIES AND RESPONSIBILITIES (and other duties as assigned)
- Opens and issues recommendations for requests for paid or unpaid leave under various leave programs (including leave under the Family Medical Leave Act, similar leave laws and any company extended illness program but not annual leave) with a focus on excellent customer service, timeliness and compliance.
- Once a case is opened and/or approved, provides management and administration of the employee’s leave, including communicating with employee, manager, health care providers and/or other stakeholders to ensure timely notification, adequate recordkeeping and recertification – where appropriate.
- Provides support to employee as well as payroll and benefits teams to monitor benefit program enrollment and employee’s premium obligations while employee is on leave.
- Processes leave and disability related transactions consistent with established best practices and applicable law and prepares professional and appropriate correspondence.
- Initiates the interactive process of accommodation by conducting request intakes and serving as a liaison between employee, HR professional and/or management, assists with adequate recordkeeping to document the accommodation granted and performs any necessary follow up if accommodation is issued on a trial basis or only for a specific period of time.
- Communicates information regarding leave eligibility, donation program guidelines, process for returning-to-work accurately and consistently and collaborates with HR professionals in such communication.
- Conducts regular case status update meetings with HR professionals and/or management leads to ensure proper program management, engage with internal legal counsel when necessary to ensure compliance with applicable law.
- Reviews confidential updates on medical treatment plans and exam results, shares information on a need-to-know basis, and maintains mandatory confidential files.
- Maintains multiple databases and generates related reports (e.g., leave usage and statistics, accommodations, return to work dates, benefit program eligibility, benefit arrears, etc.).
- Level II – III provides training, advice, and assistance to frontline management, employees, and HR professionals in accordance with multiple, complex regulations and policies. Also assists with policy and procedural revisions, as well as special duties as assigned.
- Level III assists with quality assurance audits, including vendor audits, and maintains related compliance documentation.

- Level I: At least two years in human resources, payroll and/or office work, preferably with an emphasis on handling confidential information.
- Level II: Three – Five years of experience in human resources, employee benefits, disability and/or leave case management.
- Level III: At least five years of experience in human resources, employee benefits, disability and/or leave case management.
- Capable of accurately interpreting and applying regulations, policies, and procedures, including collective bargaining agreement (CBA) provisions and/or ability to quickly develop this skill.
- Working knowledge or relevant regulations, including worker’s compensation, leave, and disability laws and/or ability to quickly build this knowledge.
Preferred:
- Certified Professional Disability Manager (CPDM) and/or Certified Leave Management Specialist (CLMS) preferred.
LANGUAGE SKILLS
Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals. Ability to write routine reports and correspondence. Ability to speak effectively before groups of employees or customers.
MATHEMATICAL SKILLS
Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to compute rate, ratio, and percent and to draw and interpret bar graphs.
REASONING ABILITY
Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form. Ability to deal with problems involving several concrete variables in standardized situations.

The work environment is in a busy office setting. The noise level in the work environment is usually moderate. While performing the duties of this job, the employee may be occasionally exposed to outside weather conditions and may be required to travel in small and large commercial aircraft.
