In this role, the Proposal Coordinator / Technical Writer is responsible for developing and managing a variety of proposals in response to Requests for Proposals (RFP), Requests for Information (RFI), Invitations to Tender, and similar inquiries. This position would be part of a small proposal development team within the Marketing and Proposals Department and will report directly to the Director of Marketing and Proposals. 

This role requires an ability to write and manage multiple proposals on deadline. The proposals include projects or multi-year service contracts in the oil and gas industry that vary in size from hundreds of thousands to tens of millions of dollars. Role responsibilities also include editing, formatting, updating, and maintaining a variety of documentation. The position interfaces with all Company departments to gather information, interview subject matter experts, and develop content tailored to specific projects and purposes.

ESSENTIAL DUTIES AND RESPONSIBILITIES (AND OTHER DUTIES AS ASSIGNED)

  • Proven ability to work under continuous pressure, and to demanding deadlines, while ensuring accurate, compliant, and effective proposals.
  • Write, edit, format, update, and maintain documents per Company or client standards.
  • Interview subject matter experts for required information, verify accuracy, and write narratives.
  • Create and maintain proposal, project, and administrative documentation for all business needs.
  • Review and interpret RFPs (or similar); develop proposal win strategy with key proposal team members.
  • Schedule and facilitate proposal kickoff meetings attended by key proposal team members. 
  • Coordinate and lead proposal status meetings and manage progress of multiple proposals.
  • Track proposal deliverables (milestones, issues, review days, kickoff meetings, and due dates) and ensuring follow-up with team members for delivery and tracking overall progress.
  • Manage proposal development, standard templates, final formatting, assembly, packaging and delivery.
  • Review final proposal to ensure compliance with RFP (or similar) and to verify Company standards are maintained.
  • Schedule resources needed to produce and deliver professionally produced proposals into final client ready package. 
  • Monitor and maintain potential opportunities in client systems, i.e. ARIBA, SAP, etc.
  • Request or respond to clarifications and other communication.
  • Assist the Director of Market and Proposals in implementing strategic initiatives to meet the Vision Statement and Corporate Marketing Plan objectives.
  • Maintain our Proposal Tracker and SharePoint documentation in compliance with established Company standards.
  • Ensure lessons learned from our clients, in regards to RFI and RFP responses, are documented into the Proposals database for future proposal optimization.
  • Comply with Company and customer policies and procedures.
  • Support AES zero-incident safety culture and assume personal accountability and responsibility for safe work practices in all projects, activities, and operations.

MINIMUM EDUCATION AND EXPERIENCE
Bachelor’s degree in a related field is with a minimum of two years’ experience in proposal and/or technical writing is preferred. Bachelor’s degree can be substituted with related experience in the oil and gas industry. Intermediate or advanced Adobe Acrobat and Microsoft Office Suite required. Intermediate SharePoint and Adobe InDesign experience preferred. Familiarity with a content management system is preferred.
