Under the supervision of the Director the Administrator is responsible for the processing and coordination of Arctic Education Foundation (AEF) scholarships, short-term training, competitive awards, and day-to-day operations on the administrator level. Supports the foundation in financial and compliance administration, assesses needs, and supports the AEF Director by resolving issues related to applications, scholarship awarding, financial audits and scholarship reporting, and fundraising events, this position supervises the Scholarship Coordinator.
ESSENTIAL DUTIES AND RESPONSIBILITIES (and other duties as assigned)
1. Manages the online scholarship application process.
2. Assist with website and social media sites.
3. Develop relationships with external scholarship constituents, including school districts, industry, and local colleges.
4. Manage the student scholarship/tracking system.
5. Have a knowledge and understanding of AEF policies and bylaws.
6. Develop and implement best practices within the scholarship program, assist with scholarship application review and awarding, and handle inquiries from students, parents, and schools.
7. Coordinates and assists with managing all AEF events, including our fundraising efforts, raffles, galas, and banquets.
8. Performs grant-related, pre- and post-award functions. Ensures expenditures are compliant before requesting approval and performs budget and expense analysis reporting when requested.
9. Performs grant application, management, and closeout functions as needed.
10. Monitor student eligibility for all scholarships, including outside agency scholarships.
11. Travel to meet and greet sessions across the North Slope and for events as needed.
12. Able to interact with students in North Slope communities, sharing AEF’s mission and programs with students and participating in AEF events, this would include travel to all North Slope villages.
13. Assist in all AEF Board meetings quarterly.
14. Assist in office management while the AEF Director is out.
15. Assist with the Cultural Education Program as needed.

EDUCATION and/or EXPERIENCE
1. Strong knowledge, understanding, and sensitivity to the Inupiat culture.
2. High school diploma or equivalent; associate degree or bachelor’s degree from a college or university is preferred.
3. Five years of administration experience
4. Proficiency with Microsoft Office programs especially Excel and PowerPoint.
5. Courteous and proficient in verbal, written, and interpersonal skills.
6. The ability to speak and understand the Inupiaq language is important and preferred.
7. Must be able to fly on small aircraft as needed.
LANGUAGE SKILLS
Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals. Ability to write routine reports and correspondence. Ability to speak effectively before groups of employees or customers.
MATHEMATICAL SKILLS
Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to compute rate, ratio, and percent and to draw and interpret bar graphs.
REASONING ABILITY
Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form. Ability to deal with problems involving several concrete variables in standardized situations.

The work environment is in a busy office setting. The noise level in the work environment is usually moderate. While performing the duties of this job, the employee may be occasionally exposed to outside weather conditions, occasionally be exposed to wet or humid conditions, may frequently be exposed to extreme cold, and occasional exposed to extreme heat and may be required to travel in small and large commercial aircraft.
