Under the general direction of the Manager, this position is to support the efforts of Eskimos, Inc. the incumbent performs complex work of an administrative nature. This is a responsible position that may involve supervision, provides assistance to various department heads in administrative areas, and works with minimal instruction or supervision.

ESSENTIAL DUTIES AND RESPONSIBILITIES (and other duties as assigned)

1.       Manage supervisor’s calendar and independently schedules appointments.

2.       Screen incoming calls and correspondence and responds independently when possible.

3.       Prepare memorandums outlining and explaining administrative procedures and policies and monitor compliance.

4.       Prepare invoices for payment, ensuring backup materials are attached, make copies, and file into a proper file.

5.       Create and update employment files.  Assist employees with forms; leave requests, payroll deduction authorization, etc.

6.       Create and complete timecards for each employee and ensure they complete and sign.  Complete, submit and release payroll in Oracle.

7.       Arrange programs, events, or conferences by arranging for facilities and caterers, issuing information or invitations, coordinating speakers, and controlling the event budget.

8.       Directly prepare of records such as agendas, notices, minutes, and resolutions for company meetings.

9.       Act as custodian of corporate documents and records.

10.   Compose and prepares confidential correspondence, reports, and other complex documents.

11.   Create and maintains database and spreadsheet files.

12.   Arrange detailed travel plans and itineraries, compile documents for travel-related meetings and accompany supervisor when requested.

1.                   Strong knowledge, understanding, and sensitivity to the Inupiat culture.

2.                   High school diploma or equivalent.

3.                   Three to five years of secretarial experience.

4.                   Knowledge of word processing, database and spreadsheet software.

5.                   The ability to speak and understand the Inupiaq language is important and preferred.

6.                   Valid Alaska Driver’s License.


Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals. Ability to write routine reports and correspondence. Ability to speak effectively before groups of employees or customers.


Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to compute rate, ratio, and percent and to draw and interpret bar graphs.




Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form.  Ability to deal with problems involving several concrete variables in standardized situations.

While performing the duties of this job, the employee is regularly required to talk or hear.  The employee is frequently required to sit; reach with hands and arms; and to use hands to finger, handle, or feel.  The employee is occasionally required to stand, walk, climb or balance.  The employee must frequently lift and/or move up to 10 pounds and occasionally lift and/or move up to 25 pounds.   Specific vision abilities required by this job includes the ability to use close vision, distance vision, peripheral vision, depth perception, and the ability to adjust focus.

The work environment is in a busy office setting.  The noise level in the work environment is usually moderate. While performing the duties of this job, the employee may be occasionally exposed to outside weather conditions, occasionally be exposed to wet or humid conditions, frequently exposed to extreme cold, occasionally exposed to extreme heat, and may be required to travel in small and large commercial aircraft.
